Kargen.ai is a freight operations automation platform for freight brokers. The platform helps users process shipper RFQs, carrier quotes, negotiation emails, and other load-related communication from connected Gmail or Google Workspace mailboxes.

This Privacy Policy explains how Kargen.ai collects, uses, stores, and protects user data, including Google user data accessed through Gmail APIs.

2. Information We Collect

When you use Kargen.ai, we may collect:

• Account information such as name, email address, company name, and role.

• Freight workflow information such as RFQs, load details, shipment lanes, carrier quotes, negotiation history, customer responses, and operational notes.

• Gmail/Google Workspace data authorized by the user, including email subject, sender, recipients, body, attachments, thread metadata, labels, and message IDs.

• System usage data such as login activity, feature usage, error logs, and audit logs.

3. How We Use Google User Data

Kargen.ai accesses Gmail data only after the user authorizes access through Google OAuth.

We use Gmail data to:

• Identify new shipper RFQs.

• Extract shipment and load details from emails and attachments.

• Detect carrier quotes and negotiation responses.

• Maintain email thread context.

• Remove quoted histories and signatures where required.

• Prepare operational replies such as clarification requests, quote requests, negotiation responses, and customer replies.

• Send user-approved emails from the authenticated user's mailbox.

• Apply labels or update processing status, if the user grants mailbox modification access.

Kargen.ai does not use Google user data for advertising.

Kargen.ai does not sell Google user data.

Kargen.ai does not transfer Google user data to third parties except as necessary to provide the application's core freight workflow automation features, comply with law, or protect the security of the service.

4. Limited Use Disclosure

Kargen.ai's use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

We use Google user data only to provide or improve user-facing freight operations features that are clearly visible in the Kargen.ai product.

5. Data Storage and Security

We store user data securely using access controls, encryption where appropriate, and operational security practices designed to protect against unauthorized access, disclosure, alteration, or destruction.

Access to user data is limited to authorized systems and personnel who need access to operate, maintain, secure, or support the service.

6. Human Access to Data

Kargen.ai does not allow humans to access Gmail content unless:

• The user explicitly authorizes support access.

• Access is required for security, abuse prevention, or legal compliance.

• Access is necessary to investigate or resolve a user-reported issue.

7. Data Sharing

We may share limited data with service providers who help us operate Kargen.ai, such as cloud hosting, database, security, logging, analytics, and email infrastructure providers.

These providers are authorized to process data only as needed to provide services to Kargen.ai.

We do not sell personal data or Google user data.

8. Data Retention

We retain user data only as long as needed to provide the service, meet legal obligations, resolve disputes, enforce agreements, and maintain audit/security records.

Users may request deletion of their account data by contacting us at support@kargen.ai.

9. User Control and Revocation

Users can disconnect Google access at any time from their Google Account permissions page or from within Kargen.ai, where available.

After access is revoked, Kargen.ai will no longer access the user's Gmail account.

10. Children's Privacy

Kargen.ai is intended for business users and is not directed to children under the age of 13.

11. Changes to this Policy

We may update this Privacy Policy from time to time. If we make material changes, we will notify users through the product, website, or email.
